NASCAR seeks a talented professional to join in the position of Coordinator, Fan Zone Operations based in our Daytona Beach, Florida office.

Summary

The Coordinator, Fan Zone Operations supports the execution of fan-facing experiences by managing display partner communications, credentialing, parking, and on-site asset setup. This role works closely with internal teams and external partners to deliver engaging fan activations and special events. The ideal candidate is highly detail-oriented, an effective communicator, and comfortable managing multiple priorities in a fast-paced, live-event environment.

Duties include but are not limited to:  

  • Serve as the primary point of contact for display partners, ensuring clear communication and coordination of on-site requirements and event logistics
  • Manage the distribution of credentials and parking passes for display partners, ensuring compliance with event policies and seamless venue access
  • Prepare and distribute display partner packets containing event guidelines, requirements, and operational details
  • Collect, track, and maintain valid Certificates of Insurance (COIs) for all display partners in accordance with event standards
  • Oversee the setup and placement of fan engagement assets, including photo moments, umbrellas, tables, signage, and other fan-facing elements within designated Fan Zones
  • Assist with the setup and execution of Speediatrics activations, ensuring smooth integration into the overall event experience
  • Collaborate with the Marketing team to ensure proper placement and accuracy of signage across all fan-facing activations
  • Coordinate and communicate the fan activity schedule, ensuring events and experiences run on time and as planned
  • Support track-specific activations such as Viva La Fiesta and Community Rows to enhance the overall fan experience
  • Build and maintain strong working relationships with regional and central departments, particularly the Central Event Experience team
  • Collaborate with external stakeholders to ensure smooth operations and successful delivery of the fan experience
  • Provide logistical and operational support for special events and additional fan experiences
  • Perform other duties as assigned

Required skills / experience:  

  • Bachelor's degree required; preference for a related business field such as Marketing or Sports Management
  • 1–3 years of professional experience in sports, live events, or event operations required
  • Self-starter with the ability to take initiative and manage projects from start to finish
  • Strong strategic, creative, and quick-thinking abilities in dynamic environments
  • Highly detail-oriented and organized with excellent written and verbal communication skills
  • Proven ability to manage on-site event logistics and think operationally
  • Collaborative team player with strong interpersonal skills
  • Ability to manage multiple projects simultaneously while meeting strict deadlines
  • Flexibility to work extended hours, including nights, weekends, and event days
  • Ability to travel up to 40%
  • Valid driver's license required
