After successful completion of the probationary period, employee will receive off probation wage increase.


Summary:

This position will perform a variety of administrative and staff support duties for the Elder Services Department, which require a range of skills and knowledge of organizational policies and procedures. Assist and direct visitors, and resolve administrative problems and inquiries; compose, edit, and proofread correspondence and reports, and prepares a range of administrative documents.


Responsibilities:

1. Prepare correspondence, reports, minutes, agendas, memos, forms, directories, and other documents and communications from drafts, recordings, or verbal instruction as requested. This will include the following:

a. Creating, revising and assisting with professional presentations as requested,

b. Editing and reviewing all correspondence and documents for correct grammar, punctuation, and spelling,

c. Maintaining an effective filing, retrieval system to include database management. This includes but is not limited to photocopying, collating and scanning information for distribution to appropriate personnel.

d. Preparing submittals for publication to include but not limited to collect information, final edits, coordinate with other departments as necessary and meet deadlines for printing and publishing in Tribal communications such as DRUMS or Kahli.

* Process and assist in monitoring accounts payable and receivable as necessary and documenting in Excel or related database as needed.
* Process weekly/monthly deposits completing necessary paperwork, taking to the bank and scanning to appropriate areas as needed.
* Coordinate and maintain travel arrangements, documents, and information as necessary.
* Assist in maintaining Aging & Disabilities facebook and website pages.
* Organize information; prepare and distribute Aging and Disability monthly event calendar.
* Maintain and operate office equipment (such as computer, printers, copier, fax, projector, etc.) including but not limited to perform general maintenance and assist in training/problem solving
* Establish and maintain inventory of office supplies.
* Monitor mailbox (drop box) and deliver mail daily and place in proper staff's mailbox.
* Provide back up to Reception/Office Manager duties in times of their absence exercising good judgment and responding accordingly ensuring professional customer service etiquette.
* Participate in department staff meetings and outside elderly activities; and contribute to a team effort.
* Maintain professional and technical knowledge by conducting research, attending seminars, educational workshops, classes, and conferences; reviewing professional publications; establishing networks; participating in professional societies; conferring with representatives of contracting agencies and related organizations.

Skills:

* Complete Oneida Certification on Reporting Child Abuse and Neglect training within ninety (90) days of employment.

Must pass a background check to meet Employment Eligibility Requirements. If applicable, must pass a background check to meet Oneida Nation/State Compact and/or Oneida Nation Gaming Ordinance, and may be required to obtain a temporary license and/or Gaming license as a condition of employment.

Must be willing and able to obtain additional related education and training.

Must pass a pre-employment drug screen and adhere to the Nation Drug and Alcohol-Free Workplace Policy.

A Tuberculosis (TB) Screening and/or a 2 step TB Skin Test is required within thirty (30) days of employment.

Must provide a copy of diploma/degree, license, or certification upon employment.
