Job Summary

The ITS Vendor Management Office (VMO) team is responsible for building and leading end-to-end strategic vendor management capabilities for Prisma Health ITS. The mission of the IT VMO is to manage all IT vendor relationships and contracts to ensure alignment with the IT Strategy, optimize cost savings, improve vendor service levels/key performance indicators, and increase satisfaction across the organization. The ITS VMO Analyst will provide support in the planning, reporting and overall management for ITS vendors and their performance.

ProfiAccountabilities

  • Contract Management:

    •  Catalogue/updates contract information in the contract repository and other tools used for contract tracking.

    •  Assist with reporting and tracking of contract details, upcoming renewals to avoid gaps in service/support, terminations, payments, etc. and escalates any risks with vendors to VMO Manager.

    •  Assist with the scheduling and participation in the contract reviews maintaining a schedule of vendor meetings/reviews

    •  Updates vendor information in the contract repository and other tools used for contract tracking.

    •  Works with Legal, Finance, Information Security and ITS areas as needed for assessing contracts and services.

    *  Develop and maintain processes for contract review, editing, tracking and obtaining approvals.

    *  Develop business cases for review with ITS and Operational Stakeholders. - 15%
  • Purchasing Management: Assist Manager with researching markets, vendors, products, etc. Update spend profiles, vendor review schedules, performance initiative, vendor product profiles, budget reports, etc. - 15%
  • Vendor Management:

    •  Works closely with VMO Manager to lead negotiations, renewals/termination efforts, creates vendor scorecards

    •  Provide insight into opportunity based on renewals, category analyses and product consolidation to VMO Manager for review and approval

    •  Provides advance notice of upcoming renewals, terminations, payments, etc. to stakeholders and supports necessary go-forward action needed

    •  Creates and assists with the execution of plans for each vendor (Gathers data, builds business case, initiates negotiations, and finalizes terms though legal approval and re-contacting)

    •  Performs vendor audits and provides feedback on vendor performance, especially on SLAs/KPIs and overall support from vendor

    •  Schedule and facilitates vendor/contract calls/reviews working with vendors and suppliers as needed.

    •  Assist VMO Manager with bid process activities.

    *  Assist the VMO Manager with vendor related research to include - spend data, market analyzes, proposal analysis, etc.

    * Facilitates or assists with the onboarding of new ITS vendors, including coordination on workflow development and establishment of the IT infrastructure. - 15%
  • Budgeting and Reporting:

    * Develop and maintain an electronic spend repository

    *  Assist the VMO Manager with budgeting activities as needed. - 15%
  • Performance Initiative/Cost Savings: Assist with validations of identified cost savings opportunities by reviewing contracts, invoices, and/or supporting documentation to meet FY savings targets. Manage/monitor ITS Cost Savings process and tool as needed. Assist ITS leadership with entries of identified savings. Work collaboratively with Finance to ensure data integrity and continuity. - 10%
  • Policies & Procedures:

    *  Assist with the development of established policies/procedures and support adherence to them. - 10%
  • Training:

    *  Assist in training and education/support when ITS Management needs assistance with processes or resource tools.

    *  Prepare education materials. - 10%
  • Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations. - 10%

Minimum Requirements

  • Bachelors Degree - Business or Business-related fields, project management, computer science
  • 3 years - healthcare operations experience

Knowledge, Skills or Abilities

  • Working knowledge of ITS hardware and software contracts including terminology, budgeting and vendor relation management. - Preferred
