Position Overview
Procurement & Vendor Management
· Ensure compliance with company standards in the invoicing process.
· Identify, evaluate, and onboard top-tier local vendors for site-specific products and services.
· Negotiate pricing, discounts, and terms with vendors for cost optimization.
· Review and finalize contract proposals to ensure alignment with business goals.
· Justify all expenditure requests before approval for local operations.
· Collaborate with internal stakeholders to review vendor quotes and proposals.
· Create purchase orders (POs), track shipments, and confirm receipt of goods in the correct quantity and condition before releasing payments.
· Resolve vendor disputes and coordinate solutions efficiently.
Facilities Maintenance
· Maintain local facilities in optimal working condition at all times.
· Identify facility-related issues and coordinate repairs and improvements with internal teams.
· Implement cost-saving measures for site operations and present them for approval.
Operational Support
· Coordinate employee transportation programs, ensuring accurate payroll deductions and seamless coordination.
· Identify and recommend housing options, manage lease contracts, and track deposits for timely retrieval.
· Host client visits, including site tours and operational model presentations.
· Translate necessary documents into English.
Finance & Reporting
· Process vendor invoices and manage accounts payable.
· Manage weekly payment cycles and track expenses to detect and explain variances.
· Prepare concise reports for leadership on operational costs and savings initiatives.
New Site Setup & Multi-City Operations
· Lead the setup of new office sites, ensuring timely and efficient execution.
· Manage multi-city facilities, maintaining operational consistency and cost-effectiveness.
Ad-hoc Projects
· Execute special projects assigned by leadership within set deadlines.
Duties and Responsibilities· Education: Bachelor's degree in Administration, Finance, or a related field.
· Experience:
o 12-15 years proven experience in admin , facilities management, vendor management, and logistics, ideally in a BPO/operations setting.
o Hands-on experience in setting up and managing facilities across multiple locations.
· Skills:
o Strong negotiation and vendor management skills, including dealing with small, medium, and large-scale vendors.
o Proficient in MS Office tools, email communication, and typing.
o Excellent English communication skills (written and verbal), including active listening.
o Ability to multitask and meet tight deadlines under pressure.
o Strong judgment and decision-making skills.
· Preferred Background: Retired armed forces personnel are strongly encouraged to apply for their operational discipline and crisis management expertise.
· Work Flexibility:
o Comfortable with night shifts and working from the office.
o Willingness to travel as necessary for multi-city site management.
