SUMMARY:

Members of Whitetail Club enjoy varied events based on their lifestyle. Our Event Planner supports the many elements of lifestyle available to our Members and Guests. Our successful Event Planner works to serve the needs of members of Whitetail Club and their guests by creating special events to enhance their Club experience. This position is instrumental in developing and fulfilling the continuous relationships of our Members and Guests. Our Event Planner possesses superior customer Service skills and manages and administers club events at the level consistent with a Platinum Club of America. This position coordinates all club events through vendors, Food & Beverage, Guest Services, all departments of Shore Lodge and Whitetail Club.   


  

WHAT YOU GET TO DO:

  • Ensure that our Club members and their guests receive the level of service which is consistently exceptional in quality. 
  • Perform active and frequent correspondence with members and member prospects. 
  • Work within the budget to creatively coordinate and schedule events and programs to enhance the member experience.
  • Represent Whitetail in business with customers, consultants, external vendors, and other public and/or private agencies and organizations.
  • Confirm RSVP's and assist with final confirmations with members. 
  • With the direction of the Club Director schedule all set-up times, Food and Beverage requirements and service needs for all club events.
  • Plan details of each event with The other necessary departments in a timely and professional manner.
  • Be present at most club events to ensure seamless integration with the team executing the event and to ensure appropriate service standards are being met. 
  • Maintain frequent on-site communication during events.
  • Work with minimal supervision and prioritize workload.
  • Work in a constantly changing work environment and manage stress levels while dealing with Club members.
  • Maintain a professional and appropriate appearance, setting the example when on property.

· Contribute positively to a team environment and become well versed in all resort operations. 

· Lead and coach team members to remain highly energetic and enthusiastic.

  • Maintain positive presence on behalf of Shore Lodge, Whitetail Club and The Cove in the local community.
  • All other duties as assigned. 


Requirements

WHAT YOU NEED TO BE SUCCESSFUL 

  • 1-3 years' experience of event planning experience
  • Demonstrate team building experience
  • Lead by example and work with minimal supervision, prioritizing workload
  • Possess excellent Microsoft software experience and time management skills
  • Exceptional follow up skills and problem-solving skills
  • An understanding of industry terms and language
  • Ability to multi-task while remaining highly organized and detail oriented
  • Ability to communicate effectively with and receive information (and or direction) from supervisor, co-workers and external service providers
  • Possess a Valid driver's license and a clean driving record
  • Previous club experience is preferred, but not required
  • Ability to gain the knowledge of the local and regional business/outdoor activities 
  • Post-secondary training in tourism or hospitality
