PRIMARY PURPOSE:  The primary purpose of this position is to protect and enhance the real estate asset for One Phipps Plaza, a 13-story, 350,000 ft2, multi tenanted, Class A office.  The Property Manager is involved in all aspects of day-to-day operations of the property, including accounting, tenant relations, maintenance and repair, security, janitorial services, landscaping, snow removal, etc. The Property Manager handles tenant complaints and service requests and must be familiar with the terms of tenant leases. The Property Manager assists in the preparation of the annual budget, reporting and financial performance of the property.

PRINCIPAL RESPONSIBILITIES:  

The successful candidate's responsibilities will include, but not be limited to:

  • Develop and implement a comprehensive Strategic Business Plan which addresses the opportunities and needs of the property and tenants
  • Professionally represent the Company and provide excellent tenant service. Respond to tenant requests/problems in a timely and courteous manner and generate work orders directed to vendors or maintenance staff. Follow-up with the tenant to ensure satisfactory resolution of the issue. Ensure that there is 24-hour emergency coverage for the property at all times
  • Support the day-to-day implementation of policies, procedures and programs that will assure a well-managed, well maintained building, placing maximum emphasis on positive responses to the concerns and needs of the tenants, environmental health and safety, and quality programs in coordination and conjunction with Simon's goals and objectives
  • Conduct daily walk-through's and routine property inspections to ensure physical assets are in best possible operating condition. Respond rapidly to any operational issues uncovered in property inspections
  • Conduct periodic inspections of the property and tenant spaces to ensure compliance with leases and the proper upkeep of the property
  • Ensure that property and lease files are properly maintained and kept up to date in accordance with company policy. Prepare and maintain appropriate tenant lease files, records, correspondence and file notes
  • Coordinate tenant move-ins.  Administer tenant occupancy including but not limited to; providing the new tenant with an introduction letter regarding emergency contacts, insurance requirements, rent collection procedures, and maintenance request procedures
  • In coordination with the Building Engineer establish the Property Management Plan, Preventative Maintenance Policies and Procedures and Property Operations Manual
  • Prioritize, schedule, assign and review preventative maintenance and routine maintenance within a computerized maintenance management system (CMMS), allocating time and materials to tenants where required
  • Manage relationships with third party contracted services providers and ensure adherence to Simon's Purchasing Policy and Code of Business Conduct
  • Maintain and promote a safe working environment through identification and elimination of any safety hazards to staff, tenants and visitors. This includes the administration of all training and regulatory programs (OSHA, ADA, EPA, etc.)
  • Ensure accuracy and compliance with contracts of all property related invoices
  • Dependable & flexible as well as possessing the ability to maintain a high level of confidentiality
  • Develop and retain a highly skilled operational team.  Provide employees with appropriate tools and training to create an environment that maximizes performance and adheres to all company policy and procedures
  • Other duties as assigned

MINIMUM QUALIFICATIONS:

  • 3- 5 years of experience or training in Commercial Real Estate
  • Bachelor's Degree from a 4-year college or university preferred
  • Ability to read, analyze and interpret complex documents
  • Effectively prioritize and multi-task
  • Strong working knowledge of MS Word, PowerPoint, Outlook, and Excel.
  • Ability to effectively communicate both orally and in writing with peers, managers and tenants
  • Strong working knowledge of budgeting, accounting and financial analysis
  • Strong interpersonal and relationship skills
  • Proactive, initiate follow-through.
  • Familiarity with security operations, cleaning procedures, and parking facilities
  • Ability to adapt to changing work environment
