Job Description:
The Centralized Nurse Clerk performs advanced clerical work in a Community Care Services Eligibility (CCSE) nursing unit. Provides clerical support to the Lead Nurse and nursing staff. Organize, compile and maintain personnel and administrative files. Provides general information about CCSE program services. Assists Lead Nurse and/or nursing staff in the assignment of cases. Maintains an Assignment Tracking log, verifies client information and documents information manually into multiple automated systems, schedules meetings, maintains distribution lists, compiles data and prepares statistical reports, as well as ongoing program reports.
Answers telephones, greets clients and distributes mail. Completes special assignments and/or reports. Understands and adheres to all HHSC and CCSE policies and procedures. Provides outstanding customer service in person, over the telephone and via e-mail. Maintains a positive and productive attitude while working in a fast-paced environment.
Essential Job Functions:
Attends work on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned. Be familiar with and follow all HHS policies and procedures relating to job performance and work rules.
- Researches client information in multiple automated systems. (20%)
- Documents information manually and into multiple automated systems. (20%)
- Provides clerical support to the Unit Supervisor and staff. (20%)
- Answers telephones and distributes mail. (10%)
- Maintains an Assignment Tracking log and provides appropriate notification to staff. (10%)
- Completes special assignments and/or reports. (10%)
- Schedules meetings and maintains distribution lists. (5%)
- Organize, compile and maintain personnel and administrative files. (5%)

Knowledge Skills Abilities:
Knowledge of office practices and administrative procedures. •Skill in the use of standard office equipment. •Skill in the use of automated software (i.e; Microsoft Office Suite, SharePoint, etc). •Ability to understand and implement administrative procedures, interpret rules, regulations, and policies. •Possesses the ability to organize and prioritize assignments to meet established time frames and deadlines. •Ability to establish and maintain effective work relationships with others. •Experience in tracking assignments of other staff using automated systems. •Ability to communicate effectively (verbally and in writing) with a varied audience. •Ability to answer telephone, refer callers to the appropriate staff or other community agencies, take messages for staff, and answers basic questions. •Ability to maintain a positive and productive attitude while working in a fast-paced environment.
Initial Screening Criteria:
Employment Application should demonstrate the following: •To be eligible for the position, applicant must have a minimum of 2 years' clerical experience. •Experience in HHSC - Community Care Services Eligibility programs preferred. •Employment application must demonstrate the ability to communicate effectively in writing. •Must have a minimum of 2 years' experience in handling phone calls from the public and providing information and referrals to callers.
Work Schedule is 8:00 a.m. to 5:00 p.m. Monday through Friday. Must be willing to attend training which may require an overnight stay.
