Position Summary:   With almost 60 full-time faculty members, 200+ PhD students and 250+ Masters students in two programs (professional MCS & research-oriented MS), and more than 2,300+ undergraduates, we provide a world-class research environment spanning not only the core areas of computer science — including computer architecture, system software, networking and distributed computing, data and information systems, the theory of computation, artificial intelligence, and computer graphics — but also highly interdisciplinary programs, such as biomedical informatics, data mining, security and privacy, and ubiquitous computing. The diverse research interests of our faculty are reflected directly in our educational programs. Computer Science faculty teach most of the undergraduate and graduate courses for the degree programs in both Computer Science and Information and Computer Science. We jointly offer with our colleagues in the Henry Samueli School of Engineering an undergraduate degree in Computer Science and Engineering, as well as the graduate program in Networked Systems. We also have a major in Computer Game Science, jointly offered with the Department of Informatics. Our department collaborates with many other institutions in the United States and abroad, and its doors are always open to a multitude of visitors and collaborators from all corners of the globe.
  The Department of Computer Science Administrative Coordinator is responsible for managing multiple department conference rooms, provide administrative assistant to faculty and lecturers, and coordinate weekly seminars, monthly meetings, quarterly lectures, and annual events, such as orientation, commencement, recruitment, and program showcases. As directed by the Department Manager, the incumbent will be responsible for the room scheduling, audio-visual set-up, facilities and equipment rentals, catering and supply orders, advertising, and other associated event logistics. The Administrative Coordinator will serve as contact on the day of the event and troubleshoot issues. The incumbent is an experienced professional who is organized to handle multiple projects with competing deadlines and follows through with tasks to completion. They will manage and track budgets, book travel, process reimbursements and honoraria, reconcile expenses, maintain records and calendars, attend weekly meetings, communicate with stakeholders, and provide post-analysis of department events.

  The expected pay range for this recruitment is $30.44 - $31.13 (Hourly Rate). The Full Salary Range for the salary grade this position is assigned to is $30.44 - $48.86 (Hourly Rate).

  Required:  
  • Bachelor's degree in related area and / or equivalent experience / training.
  • Ability to use sound judgment in responding to issues and concerns with tact, sensitivity, diplomacy, and discretion. 
  • Solid communication and interpersonal skills to develop working relationships and communicate effectively with all levels of faculty, staff, campus administrators, students, and professionals throughout and outside of the University, both verbally and in writing. 
  • Skill to manage multiple calendars and scheduling requests and to anticipate and coordinate all preparatory arrangements for meetings, seminars, conferences, and events. 
  • Solid organizational skills and ability to successfully handle multiple projects with demanding timeframes and frequent interruptions. 
  • Demonstrated ability to follow complex verbal and written instructions. 
  • Skill to analyze situations, interpret data, define problems, identify relevant factors, anticipate possible outcomes, and formulate logical conclusions. 
  • Proven ability to work independently and follow through on assignments with minimal supervision. 
  • Skill in performing financial accounting transactions, purchasing, tracking and resolving budget expenditures. 
  • Working knowledge of personal computers and proficiency utilizing standard software programs and information technology.

 

Preferred:  
  • Working knowledge of University procurement and accounting policies and procedures as they relate to high value, low value, purchasing, UCI Corporate Card, PALCard, CTS Card, and KFS.
