Department Purpose

This position is one of two academic personnel specialists in the Phoenix Cluster serving the departments of Entomology and Nematology, and Plant Pathology within the College of Agricultural and Environmental Sciences.

Administrative offices are located in Hutchison Hall and Briggs Hall. There are approximately ~45 PI's and approximately ~24 administrative cluster staff with more than 500 employees in the departments. The cluster also supports 2 graduate programs and 3 undergraduate majors.


Job Summary

Under general supervision, provides high-level analytical and administrative support to the department chairs for all actions pertaining to academic personnel for the Phoenix Cluster. Independently prepare academic merit, promotion, appraisal, new appointment dossiers, and term appointments. Facilitate all academic recruitments. Serve as first point of contact for academic leave requests.

Provide general support to the department chairs, including scheduling meetings, maintaining calendars, and drafting/editing correspondence.

Serve as a liaison between international visitors and Services for International Students and Scholars (SISS) regarding Visa processing.

Coordinate and assist with preparing academic personnel reports and records. Prepare administration portion of the Agricultural Experiment Station (AES) reporting for department faculty, including annual reports. Work with Phoenix Cluster CAO to manage, track deadlines, and resolve administrative and logistical issues with regard to academic personnel.

QUALIFICATIONS

 

Required:

 

Minimum Education/Experience

  • Experience interpreting and applying academic personnel policies, including employment regulations and procedures in a higher education setting.

 

  • Experience in the recruitment and advancement of faculty.

 

  • Experience organizing, prioritizing and managing projects and workload to meet multiple, often conflicting, deadlines.

 

  • Experience composing and editing documents and correspondence for accuracy, consistency of format and grammar, and professional appearance and style.

 

  • Experience performing administrative support functions in an executive level office environment, including using computer applications that support these functions.

Minimum Knowledge, Skills, and Abilities (KSA)

  • Interpersonal and communication skills to professionally and collaboratively interact with individuals from diverse cultural backgrounds and perspectives

 

Preferred:

Preferred Education/Experience

  • Experience using MyInfoVault, RECRUIT,APHID, REEport, NRS, iGlobal.

Preferred Knowledge, Skills, and Abilities (KSA)

  • Knowledge of Federal/State policies and procedures governing the submission and maintenance of the Agricultural Experiment Station projects.
