Departmental Overview

University Development and Alumni Relations (UDAR) strengthens Berkeley's excellence through engagement with alums, parents, undergraduate and graduate students, and friends of the University, raising public awareness about Berkeley, and increasing private philanthropy. UDAR provides overall direction for the campus's philanthropic advancement strategies and works to strengthen unit development in partnership with campus fundraisers. UDAR handles a range of central activities and services encompassing communications, stewardship, prospect development, and gift management.

Donor Relations Overview

An active advocate for donor interests at Berkeley, the Donor Relations team manages an array of programs that acknowledge and recognize donors for their giving in meaningful ways, report to them on the impact of their philanthropy, and deepen their engagement with the campus.

Position Overview 

The Donor Relations Coordinator's role involves activities associated with reaching, serving, and engaging donors through programs, events, and services designed to recognize and acknowledge their campus philanthropy. Involves managing and executing campuswide donor acknowledgment and correspondence programs, with an emphasis on those of the Chancellor and Vice Chancellor that are targeted at the campus's most generous donors. Translates donor needs and priorities into customized programs to create, enhance, and sustain relationships between the campus and donors. These programs support the objectives of timely, accurate, and personal stewardship and cultivation of major and principal gift donors, and provision of a foundational level of stewardship for the campus's entire donor base.

Responsibilities
  • Develops and implements programs and communication strategies designed to acknowledge donors for their campus philanthropy. Under general supervision and exercising limited discretion and professional judgment, administers the Chancellor's gift acknowledgment program and the Acknowledgment Service Program, as well as special correspondences such as Chancellor's and Vice Chancellor- UDAR's birthday and holiday greetings. Serves as the intake point for gifts meeting acknowledgment criteria for the various programs, researching gifts and the donors who made them according to standard process of the department, posting contact reports and record of the acknowledgments to the campus's advancement database once letters are sent, filing/e-filing gift documentation and correspondence, and tracking the dates associated with key steps in the process to monitor turnaround time.
  • Develops and maintains reports, providing basic analysis of program trends. Generates reporting needed for the operations of acknowledgment programs, including the Chancellor's and Vice Chancellor's, as well as the Chancellor's and Vice Chancellor's birthday and holiday card programs. Works with Advancement Information Systems colleagues as needed for report maintenance and updates. Collects data related to program operations and suggests enhancements and improvements based on findings.
  • Assists in identifying new Builders of Berkeley as part of the Chancellor's acknowledgment program, sets up all the communications pieces for the Executive Director's outreach to new Builders, and participates in the creation and delivery of the post-event packages. Manages tribute notifications for memorial and honorific gifts. Responsible for interfacing with donors through the donor services email account and phone line to provide timely responses to inquiries received.
  • Manages data regarding first-name salutations for donor correspondence from the Chancellor and Vice Chancellor. Manages donor and gift data integrity by researching gift information and submitting update requests. Handles special projects/assignments related to acknowledgment activity and involving interaction with donors as required. Required Qualifications
  • Minimum two years of experience applying thorough knowledge of the basic concepts, principles, and procedures of building and maintaining effective relations with internal and external constituencies.
  • Demonstrated knowledge of donor relations in a higher education environment or a similar complex organization, including its mission, goals, objectives, programs, achievements, infrastructure, and issues of concern.
  • Thorough written, verbal, and interpersonal communication skills, as well as the tact and political acumen to effectively represent the campus.
  • Thorough research, analytical, and critical thinking skills, including sound judgment and decision-making skills and the skill to correctly identify real and potential problems, advising management as required, and proposing effective strategic resolutions.
  • Thorough knowledge of Google suite and Microsoft Office suite including formulas, conditional formatting, sorting, and mail merges.
  • Skill in project management and meeting deadlines.

Education Level

  • Bachelor's degree in related area and / or equivalent experience / training

Preferred Qualifications
  • Experience with Excel Macros

Salary & Benefits

Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. 

The budgeted salary range that the University reasonably expects to pay for this position is $77,000 to $82,000, commensurate with experience.
