Position Summary:
  The UC Irvine School of Pharmacy & Pharmaceutical Sciences is the first public pharmacy school in the Los Angeles-Orange County region. Its faculty and programs span a continuum from discovery, development, and delivery of new drugs, devices, and diagnostics all the way to optimizing medication therapy in patients and patient populations. The school offers a BS in Pharmaceutical Sciences, MS in Pharmacology, PhD in Pharmacological Sciences, and Doctor of Pharmacy (PharmD.) https://pharmsci.uci.edu As part of the Susan & Henry Samueli College of Health Sciences, we actively collaborate with schools and programs in medicine, nursing, and population, public health, and the Susan Samueli Integrative Health Institute to educate, train, and mentor the next generation of pharmaceutical scientists and clinical pharmacists. The school's mission is to be a driving force for advancing health and wellness of individuals and society.


 

The Executive Assistant provides comprehensive support to the dean, including managing information, communications, projects, events, and complex calendars. Responds to requests and inquiries from faculty, staff, students, and the public. Prepares travel arrangements, background information, and briefing materials for the dean's meetings. Ensures office operations run smoothly in the dean's office; develops and implements processes as needed. The ideal candidate demonstrates excellent communication skills, diplomacy, discretion, and good judgment in resolving issues.

Required:
  • Bachelor's degree / or equivalent experience / training
  • Ability to establish and maintain cooperative working relationships with other staff members, faculty, students, and supervisors. 
  • Solid analytical / problem-solving skills. 
  • Skill to work independently and yet have the ability to effectively collaborate and coordinate with others. 
  • Strong skills to communicate effectively with all levels of staff, faculty, alumni / donors, students and external constituencies, both verbally and in writing. 
  • Demonstrated ability to prioritize workload involving multiple functions and to meet deadlines with minimal supervision or direction and to complete assignments in an environment with frequent interruptions and distractions. 
  • Ability to multi-task with demanding timeframes. Strong service orientation Ability to use discretion and maintain a high level of confidentiality


 

Preferred:   Familiarity with the organization's processes, protocols and procedures. Thorough knowledge of common organization-specific and other computer application programs.
