Hiring/Budgeted Hourly Range: The budgeted salary range that the University reasonably expects to pay for this position is $24.68/hr. - $31.29/hr.

Full Hourly Range: The full salary range for this position is $23.60/hr. - $33.45/hr.  Salary offers are determined based on final candidate qualifications and experience; the budget for the position; and the application of fair, equitable, and consistent pay practices at the University.

Department Marketing Statement

Student Health is a full service on campus primarily healthcare facility for UCSB students. We see students on both an appointment and walk in basis. Our auxiliary services included on-site laboratory, pharmacy, x-ray, lab and physical therapy. Our specialty services include psychiatry, gynecology, and sports medicine. An extensive alcohol and drug program compliments other behavioral health services.

Brief Summary of Job Duties

Using a computerized scheduling system and a virtual calling system to schedule medical appointments both by telephone and in person.  Accurately determines patient's medical needs with regards to urgency and appropriateness of patient's appointment request. Assists patients by providing information on general Student Health services and programs. Utilizes substantial customer service experience and demonstrated abilities to clearly explain appointment procedures and uses sound judgment to handle non-routine appointment requests. Performs a variety of clerical tasks as assigned.  Prepares and scans all incoming paper medical records into the electronic medical record appropriate categories.

Required Qualifications

●         High School Diploma or equivalent experience.

●         Work experience in a customer service environment.

Preferred Qualifications

●         Experience working in a medical setting and familiar with medical terminology.

●        Mandated reporting requirement of Dependent Adult Abuse

●        Must successfully complete and pass a background check before employment and date of hire.

●        To comply with Santa Barbara County Public Health Department Health Officer Order, this position must provide evidence of annual influenza vaccination, or wear a surgical mask while working in patient care areas during the influenza season.

●        Any HIPAA or FERPA violation is subject to disciplinary action.

●        Student Health is closed between Christmas and New Year's Day holidays.

 

Job Functions and Percentages of Time:

Scheduling & Customer Service, Main Lobby Support 75%

●     Scheduling patients is the first step in providing medical care and is the foundation of our services. Scheduler must exercise excellent judgment using a wealth of knowledge about a complex system involving 35+ providers, an electronic medical records program, special intermittent services and four auxiliary services.  

●     Independently ascertains patient medical needs with regards to urgency and appropriateness of patient's appointment request.

●     Exercises excellent decision-making skills and uses discretion when patient's needs or interaction are not straight forward and readily apparent.

●     Independently determines eligibility status of patients using multiple resources such as the Registrar's iSIS BLUE online program, Student Health Insurance office and/or Student Information Systems and Technology department as appropriate, and consults his/her supervisor regarding unusual circumstances. Stays abreast of knowledge of insurance plan and eligibility policies.

●     Uses clear and concise communication skills to plan, present and negotiate the proper approach to best suit the patient's medical needs.

●     Is well-versed with scheduling guidelines so s/he can independently determine the best appointment time and with whom the appointment will be with. Consults with his/her supervisor regarding unusual situations. Is also responsible for keeping the scheduler guidelines current.      

●     Communicates pertinent appointment information to patient. Ensures that every patient is aware of costs and Student Health policies, in an effort to avoid a financial dilemma and/or quality of care risk.

●     Is proficient with the complex computerized scheduling system and virtual phone line system.

●     Informs patients of schedule changes.

●     Keeps abreast of temporary and permanent revisions of policies, procedures, providers' schedules, etc.

●     Comprehends and complies with all state and federal privacy and confidentiality laws.

●    Provides general information primarily about Student Health but also about other campus resources such as Counseling and Psychological Services, Disabled Student Program, etc.

●     Manages financial clinic fee for services schedule and collects applicable fees with credit card machines.

Administrative/Clerical 25% 

●     Sorts through medical information received from non-Student Health sources, such as lab reports, x-ray reports, MD notes, medical releases, etc. 

●     Scans and sorts documents into the correct section of electronic medical records.

●     Monitors incoming faxes, sorts and forward to appropriate provider or clinic.
