Description

The Administrative Assistant I (AAI) will serve as a key member of the University Career Center's Experiential Programs team, providing administrative support for reviewing and approving internship experiences.

Minimum Education and Experience

Bachelor's degree and two years office administration or project management experience or an equivalent combination of education and experience.



Preferred Education and Experience

Strong written and verbal communication skills, attention to detail, accuracy, and the ability to meet strict deadlines.

Essential Duties and Responsibilities

  • Provide administrative support for reviewing and approving internship experiences in Handshake and ORION platforms
  • Communicate with students, faculty/staff and employers about pending experiences and approaching deadlines; confirm submitted documentation and overall status
  • Review and verify department information submitted in the ePAR system for accuracy prior to processing the hiring request
  • Attend meetings and professional development opportunities to remain current on all UTD policies and procedures related to academic internships, transcription notations, international student eligibility, technology resources, etc.
  • Provide administrative support to the front desk, when needed
  • Review and approve student-employee hiring proposals, initiate background checks, and extend offer letters to students as needed
  • Monitor the internship-shared email inbox
  • Monitor the student employment shared email inbox as needed
  • Assist with the onboarding process and other hiring procedures as needed
  • Other duties as assigned


Additional Information

After the probationary period, this role may be eligible for a hybrid (partly remote/partly in office) work schedule, subject to business need and manager approval. Must be located within the DFW Area and have the ability to be on campus with 24 hours of notice. A UT Dallas Remote Work Agreement will be required within 14 days after approval.
