The Office of Financial Aid is looking for an individual with experience in higher education financial aid, student finance, or a related field to fill our Student Financial Aid Officer IV position. Apply now to join our team!


The Student Financial Aid Officer IV will serve as the Federal Pell Grant Officer while also assisting in the administration and maintenance of current and new grant and scholarship programs. Position will help monitor compliance with all federal, state, and institutional rules and regulations,
with special attention given to Title IV administration, documentation, and staff training. Position will provide support and review documentation for compliance, audits, and training, as well as monitor compliance with federal and state reporting and disclosure requirements. Position will also assist with the maintenance if the Financial Aid Policy and Procedure Manual and all related procedural guides, as well as with management, documentation, and processing of office quality controls.

Minimum Education and Experience

Bachelor's degree and four years previous Financial Aid or Higher Education experience or an equivalent combination of education and experience. Excellent organizational skills; proficient in MS Office products with ability to learn other software programs; detail oriented, accurate.

Preferred Education and Experience

Supervisory experience is preferred but not required.

Essential Duties and Responsibilities

  • Oversee the Federal Pell Grant program: send, receive, and process Common Origination and Disbursement (COD) files, correcting errors and troubleshooting issues; complete regular and end-of-year reconciliation; resolve overpayment (POP) and multiple reporting (MRR) situations; and ensure compliance with program rules, regulations, policies, and procedures.
  • Monitor compliance with all federal, state, and institutional regulations with special attention to Title IV and state funding requirements.
  • Support the documentation of audits, business processes, and updates to the Policy & Procedure Manual.
  • Review and analyze current business processes with goal of maintaining compliance, improving business processes, and proactively targeting potential issues or weaknesses.
  • Review and maintain financial aid website consumer information and disclosure requirements.
  • Compile and review statistical data.
  • Share responsibility with Financial Aid administration team for state, federal, and institutional reporting.
  • Read and review federal and state rules, regulations, and law.
  • Send needed updates to staff.
  • Create and maintain desktop reference guide for Financial Aid staff.
  • Attend Department of Education online training and informational webinars.
  • Assist in determining applicable training opportunities for the office.

  • Detail-oriented and accurate with the ability to analyze, interpret, and prioritize information in order to make informed decisions, and to identify potential issues and possible solutions proactively
  • Ability to plan, coordinate, schedule, and monitor tasks and activities in order to complete assignments timely and effectively
  • Excellent organizational, prioritization, and time management skills with the ability to complete several tasks and projects at a time
  • Strong written and verbal communication skills as well as active listening and interpersonal skills, with the ability to work collaboratively and effectively in a strong team environment, take direction, and follow instructions


Remote Work Notice
Following successful completion of an initial training period, a hybrid remote work schedule may be available, subject to business needs and departmental approval. Employee must be located within the Dallas/Fort Worth Metroplex area and have the ability to be on campus for work activities as scheduled and/or with 24-hour notice. Completion and approval of a UT Dallas Remote Work Agreement will be required, and use of personal computer, internet, and other standard equipment may be required. Remote work arrangements are subject to regular review and re-approval and may be cancelled.
