Job Summary
The RFP Writer plays a key role in driving WorkCare's growth by managing and producing high-quality, compliant, and persuasive responses to Requests for Proposal (RFPs), Requests for Information (RFIs), and related sales documentation. This position collaborates closely with Sales, Marketing, Product, and Operations teams to ensure proposals accurately represent WorkCare's capabilities, align with client needs, and reflect our brand voice and business objectives.
Essential Duties and Responsibilities
- Lead the full RFP response process from intake to submission, including review, content development, editing, formatting, and delivery.
- Interpret and analyze client requirements to ensure complete, compliant, and competitive responses.
- Collaborate with subject matter experts across departments to gather and refine technical, operational, and clinical information.
- Maintain and continuously update a centralized content library for standard RFP responses, company boilerplate, and supporting documentation.
- Ensure consistency of tone, messaging, and compliance with brand and style guidelines.
- Track and report on RFP activity, win rates, and key insights to improve proposal quality and efficiency.
- Support related business development initiatives, such as customized sales decks, proposal templates, and capability statements.
- Identify opportunities to improve the RFP process and support automation, content management, and quality control efforts.
Qualifications
Education and Experience
- Bachelor's degree in Communications, English, Marketing, Business, or related field.
- 3+ years of experience writing and managing RFPs or complex proposals, preferably in healthcare, occupational health, or B2B services.
- Strong writing, editing, and organizational skills with exceptional attention to detail.
- Ability to translate technical and clinical information into clear, persuasive business language.
- Proven ability to manage multiple projects and deadlines in a fast-paced environment.
- Proficiency with Microsoft Office (Word, Excel, PowerPoint) and experience with proposal management tools (e.g., Proposify, Loopio, or similar).
- Preferred:
- Familiarity with occupational health, employee wellness, or related healthcare service lines.
- Experience working with Salesforce or other CRM systems.
- Understanding of federal, state, and corporate procurement processes.

- Notice discrepancies and inconsistencies in available information and brings it to light.
- Supports other outputs include business-related writing projects assigned by the Director, Marketing and Communications
- Proactively or by request, performs additional duties and assumes additional responsibilities for the optimum operation of WorkCare.
- Willing to work extended hours as needed
Computer Skills
- Proficient in SharePoint, Microsoft Office Suite including Microsoft Teams, Adobe Acrobat.
Physical Demands
- Requires sitting for long periods of time, working at a desk.
- Some bending and stretching could be required.
- Working under stress and use of computer/phone required.
- Manual dexterity required for use of computer keyboard.
- Occasionally may be required to stand, walk, stoop, kneel and/or crouch.
- May occasionally lift and/or move up to 15 pounds.
Work Environment
- Work Environment must be free from background noise and distraction, noise level is acceptable, temperature is controlled. At home set up must meet all Company IT, privacy and safety requirements.
This position has a salary range of $65,000 - $85,000 annually. Final compensation offered will be determined by factors such as job-related knowledge, skills, experience, and qualifications.
