Specialist, Licensing

In short as a Specialist, Licensing, you'll play a vital role in ensuring the organization maintains full compliance with all federal, state, and local licensing and registration requirements. You'll manage the complete lifecycle of licenses—from initial application through renewal—driving timely, accurate submissions and maintaining data integrity across systems. This role supports market expansion, new product launches, and ongoing operations through expert regulatory execution, proactive risk mitigation, and cross-functional collaboration. You'll also lead and execute special projects that improve licensing processes, strengthen compliance infrastructure, and support key business initiatives.

In long, the Specialist, Licensing is responsible for:

  • Managing the end-to-end lifecycle of licenses and registrations across multiple jurisdictions to ensure continuous operational compliance.
  • Preparing, submitting, and maintaining all license applications and renewals in a timely and accurate manner to prevent operational interruptions.
  • Monitoring and interpreting regulatory requirements to ensure ongoing compliance and communicate relevant updates to internal stakeholders.
  • Maintaining data accuracy within enterprise licensing systems to ensure visibility, reliable reporting, and audit readiness.
  • Conducting regular audits and reconciliation of licensing data and documentation to identify and resolve discrepancies.
  • Partnering with Legal, Compliance, Operations, and Business Development teams to support market entry, new initiatives, and product launches.
  • Assisting with the creation and refinement of licensing processes, workflows, and standard operating procedures to improve efficiency and scalability.
  • Managing and executing special projects that enhance compliance operations, streamline processes, or enable business growth.
  • Preparing reports and summaries of licensing status, compliance metrics, and audit findings for internal stakeholders.
  • Acting as a liaison between internal teams, external partners, and regulatory agencies to ensure timely and effective communication.

The Specifics.

  • Bachelor's degree in Business Administration, Legal Studies, Public Administration, or related field—or equivalent experience.
  • 3+ years of experience in licensing, compliance, or regulatory operations, ideally within consumer finance, ancillary services, or motor vehicle dealer environments.
  • Strong understanding of state and federal licensing requirements across multiple jurisdictions.
  • Proven ability to manage complex workflows, special projects, and competing deadlines simultaneously.
  • High attention to detail and accuracy in data management.
  • Proficiency in Microsoft Office Suite and licensing management software or tools.

Nice to Haves

  • Experience using License Pro or similar licensing management systems.
  • Familiarity with process improvement or automation tools that support compliance operations.
  • Experience leading or contributing to cross-functional initiatives that drive operational excellence.
