The Administrative Assistant II is responsible for providing and ensuring excellent customer service for the International Center Welcome Desk and Call Center. The AAII is also responsible for related mail services support and administrative duties in support of the International Center.
Minimum Education and Experience
Bachelor's degree and five years of office administration or project management experience including two years at an Administrative Assistant I level or an equivalent combination of education and experience.
Preferred Education and Experience
Customer/Student services experience 5-7 years
Student worker or part-time staff supervisory experience 3-5 years
Essential Duties and Responsibilities
Reception Services: Responsible for staffing and quality of services for Welcome Desk and Call Center. Provide direct reception services 70% of the time. Resolve conflicts and make discretionary decisions to resolve customer service issues. Hire, train, schedule, and supervise work performance of all Welcome Desk and Call Center student staff who provide customer service to all students and guests at the IC. Responsible for document intake and release, appointment scheduling, provide guidance on filling out forms, review forms for completion, screen visitors before routing to staff and/or departments, and notating student accounts in Sunapsis, notating student accounts, and provide callers with current ISSO updates.
Mail Services: Daily processing of initial I-20 eShipGlobal orders for international student orders and ad hoc department paid express mail orders. Maintains eShipGlobal supply inventory as necessary. Support other staff in processing incoming and outgoing mail.
Administrative Services: Ordering front desk specific supplies (pens, water, candy). Document shredding arrangements, provide support on team projects, fill in on ICAdminTeam board tasks as needed. Other duties as assigned.
