Departmental Overview

The Center for Computational Biology (CCB) is a unique interdisciplinary graduate instructional unit. The Center serves as the focal point for computational biology research and education at UC Berkeley, fostering interdisciplinary research collaborations and training the next generation of leaders in the field.  The CCB engages in a number of activities in support of this mission, including but not limited to conducting faculty searches, fundraising, organizing academic seminars, retreats and workshops, and overseeing the Computational Biology PhD and Designated Emphasis in Computational and Genomic Biology programs.

The Program Coordinator position will manage events and provide administrative support for CCB.  The incumbent in this position will work independently and provide a full range of comprehensive, complex, and diverse events and administrative services that includes, but is not limited to coordinating on-site and off-site meetings and events; maintaining calendars and coordinating appointments, assist with the management of the Designated Emphasis (DE) program, scheduling CCB courses and maintaining faculty service databases and membership.  All of the above will be executed using organizational skills and independent judgment to ensure smooth daily operations.


Responsibilities

40%  Manages, plans and administers a range of administrative operations:

•    Provide administrative support and assistance on a broad range of projects and responsibilities for CCB Executive Director and Graduate Program Coordinator.
•    Schedule meetings, compose meeting minutes, review and respond to incoming emails and route, if appropriate, to faculty, students or other department units.
•    Manage inquiries from potential and current Designated Emphasis (DE) students about courses and requirements; oversee DE application process with support of Graduate Program Coordinator.
•    Assist with scheduling CCB courses and reserving classrooms.
•    Maintain faculty service databases and membership information.
•    Manage and maintain CCB website, mailing lists, and calendar of events.
•    Serves as a backup to CCB Executive Director in his/her absence.

40%  Event Management:

•    Provide logistical support in the planning and execution of meetings, seminars, workshops, student admissions, recruitment, orientation, commencement, annual retreat and other events as assigned.
•    Coordinate food and beverage ordering, venue booking, AV coordination and RSVP management.
•    Set up event registration and promotion.
•    Prepare materials for events such as maps, badges, and programs.
•    Communicate needs with vendors and track event expenses to ensure that event costs do not exceed budgeted allocations.
•    Design and coordinate post event evaluations.

15%  Purchasing and Reimbursements:

•    Prepare order for routine supplies and low value purchases as needed.
•    Research vendors and prices for various center orders and purchases.
•    Process travel and entertainment reimbursements for CCB faculty, students and staff.
•    Create direct bill information and coordinate travel procedures for students and faculty.
•    Prepare travel and purchases documents for approval.

5%   Supervise student employee(s) and perform special projects and other duties as assigned.


Required Qualifications
  • Ability to work independently, apply initiative and take responsibility for a variety of administrative tasks.
  • Strong communication and interpersonal skills to work effectively with all levels of staff, students, and faculty.
  • Demonstrated high-level, results oriented customer service skills.
  • Strong attention to detail and excellent organizational skills with the ability to multi-task with competing deadlines.
  • Ability to use sound judgment in responding to issues and concerns.
  • Ability to use discretion and maintain confidentiality.
  • Strong analytical and problem-solving skills.
  • Ability to develop methods or procedures to resolve complex operational problems.
  • Proficiency with MS Word, PowerPoint, Excel, Google Suite of services.
  • Bachelors degree in related area and/or equivalent experience/training.

Preferred Qualifications
  • Working knowledge of common campus-specific and other computer application programs.
  • Knowledge and familiarity with University travel, purchasing and reimbursement policies and procedures.
  • Experience with website management and Wordpress.
  • Communications, outreach and/or social media experience.

  • The salary range designated for this position:  $70,000 - $75,000; however, starting salary will be commensurate with experience.
