The Office of the Registrar maintains an accurate academic record for each student who enrolls at the University of California, Santa Cruz, and provides timely, accurate, and responsive services to students, faculty, staff and the public. Office of the Registrar areas of responsibility include: contributions to policy development and implementation; participation with the Academic Senate's Committee on Educational Policy (CEP), Committee on Courses of Instruction (CCI) and Graduate Council (GC) in curriculum, course, and program approval; academic advising and degree audit support; functional processing oversight of the Academic Information System (AIS) and other systems including Campus Curriculum and Leave Planning (CCLP), Curriculum Approval and Tracking system (CAT), 25Live, and Schedule25 for classroom and event scheduling; classroom scheduling and advocacy for renovations; enrollment and fee assessment; grading and transcripts; graduation and diplomas; maintenance of student academic record integrity; preservation of permanent student academic records; enrollment reporting and data analysis; protecting the privacy of student academic records; certification of veteran student education benefits; and determination of legal residence for fee purposes.

Involves technology-based analysis of business practices, processes and problems; developing solutions which may involve process design, data and information architecture, software development and policy or procedural changes; creating specifications for systems to meet requirements; validating requirements against needs; designing details of automated systems; developing user interface design; planning and executing unit integration and end-user acceptance testing; may develop training materials for system implementation. May lead cross-functional teams to solve complex business or systems issues.
The Senior Systems Analyst - Academic Advisement, under the direction of the Principal Analyst for Academic Advisement, and the Associate Registrar, is responsible for reporting on and coordinating student records and advising system functionality for the UC Santa Cruz campus. The incumbent provides support to the Principal Analyst for Advisement, and the Registrar Systems Analyst Team.
The incumbent serves as a liaison from the Office of the Registrar to other academic and administrative departments. Student records and advising functionality encompasses support for publications, enrollment services, student academic history and academic planning, transcripts, evaluations, archiving, reporting and report writing.
The lead responsibility of Registrar Advising Analysts of all levels is development and maintenance of degree audit functionality through facilities built into the student information system. Analysts translate academic requirements from each degree into a series of system instructions that interpret the students' progress through their academic plans as a degree audit report. The report for each plan may need annual updates or even redesign based on course catalog resources and liaisons with academic departments. Additional primary responsibilities include support and planning with the advising analysts' constituencies among academic and administrative departments; preserving the integrity of the system and its data; developing new functionality; ensuring AIS data integrity; updating security roles and academic structure. The Registrar Senior Systems Analyst analyzes UCSC student records and advising needs, coordinates the development and delivery of student record and advising related information, facilitates documentation and testing, and produces materials to address training needs.
In this role, the incumbent maintains knowledge of industry best practices and works collaboratively with campus entities and other AIS process managers to maximize the effectiveness of student records, advising and degree audit functionality within AIS and associated systems, and to uphold electronic security and the privacy of student records. The Senior System Analyst upholds UCSC's Principles of Community and the UC Standards of Ethical Conduct.

40% - Applies technical expertise and business analysis concepts to identify, evaluate and define degree audit requirements for general education, university requirements, and undergraduate degree programs, with an understanding of University requirements, applicable business practices, processes, systems and industry standards to meet student and adviser needs.
20% - Provides technical expertise in identifying, evaluating and developing complex systems and procedures to support campus academic advisement and registrar's records processes. Creates complex specifications for systems to meet campus requirements. Involved in developing complex user interface designs. Plans and executes unit integration and acceptance testing. Participates in cross-functional teams to address complex business or systems issues.
15% - Gathers, analyzes, prepares and summarizes student, adviser, department, and Academic Senate needs, documenting requirements and revising existing system and process logic issues as necessary. Provides support and training on new applications. Guides and advises less-experienced Systems Analysts.
15% - Supports additional processes and analysis supporting campus degree planning and audit requirements. This may include development toward transfer credit review and articulation, exception coding, course setup, or other curriculum functions
10% - Gathers, analyzes, prepares, and summarizes recommendations for approval of business process and procedural documentation. Recommends and implements changes in processes and procedures. Negotiates with campus stakeholders on the creation of specifications.
- Bachelor's degree in related area and / or equivalent experience / training.
